POSITION SUMMARY:
The Account Executive is responsible for booking group business meetings with up to 199 peak room nights. The person in this role will manage client and customer relationships, track bookings, lead servicing, manage account activities, and collaborate with partners in alignment with Visit Dallas strategies, objectives, goals, values and best practices.
ROLE AND RESPONSIBILITIES OVERVIEW:
· Manage leads up to 199 peak rooms including confirming receipt, converting leads, updating, and processing leads to definite status
· Maintain and update CRM records, contact lists, and individual calendar in alignment with sales administration procedures, practices, and policies
· Responsible for coordinating and executing site visits
· Communicate with clients and customers efficiently and diplomatically with a confident, positive attitude and pleasant personality
· Generate reports, searches, and update data in CRM
· Create and deliver flawless documents and departmental communications to external and internal stakeholders to ensure all documents are in alignment with the Visit Dallas brand standards
· Prepare Definite Booking Agreements and enter commitment summaries for incentives
· Service definite groups; submit member referrals based upon clients’ needs as well as other bureau services
· Effectively manage individual budget and report all expenses in a timely and accurate manner within Visit Dallas policies
ADDITIONAL RESPONSIBILITIES:
· Support special projects as needed
· Adopt Claude AI and other approved technology tools to work more efficiently in the role
· Attend and participate in sales meetings, training programs and other required meetings
· Foster positive relationships with vendors, suppliers and other stakeholders
· Contribute to the organization’s safe, healthy, harmonious, positive, professional and productive work environment and culture
· Other tasks as assigned

DESIRED EDUCATION AND EXPERIENCE:
· Two years’ experience in a sales or services role in the hospitality industry
· Learn and become proficient with online/cloud-based programs and software such as but not limited to Microsoft Office 365 Suite of products, Zoom Video Conferencing, Dropbox, CRM, OneDrive, Threshold 360, Cvent, EventsForce, Sendsites and Adobe Sign
WORK ENVIRONMENT AND PHYSICAL DEMANDS:
The person in this role will operate in an office environment with frequent and consistent use of a laptop computer, monitor, keyboard, mouse, cell phone and other related equipment. It is mostly a sedentary role with extended working time sitting. The person in this role may also spend time working with clients at locations where the environment will vary.
EXPECTED HOURS OF WORK:
This is a full-time position with an expectation of 40 + hours of work each week. The regular office hours are Monday through Friday, 7:30am to 5:00pm. Evening and weekend work and participation in events that occur outside of the regular office hours are expected. Visit Dallas offers an optional hybrid work schedule where most team members may work from home on Tuesdays and Wednesdays.
EXPECTED TRAVEL:
The person in this role can expect to travel within the Dallas area frequently. Use of a personal vehicle for Visit Dallas business is needed for site visits, meetings, airport transfers, delivery of client gifts, etc. Team member vehicles used for work should be in good working condition, well-kept, and have four doors.
