Event Policy
We understand that plans can change, and we want to make our registration policies as clear and straightforward as possible.
If your plans change before the published cancellation deadline
You may cancel your registration and receive a refund, less a $100 administrative fee (for Winter Conference is a $80 admin fee).
If your plans change after the cancellation deadline
At that point, Destinations Texas has typically made financial commitments based on confirmed attendance, so we are unable to provide refunds. Exceptions may be considered in the case of a documented medical emergency.
If someone else from your organization can attend in your place
We are happy to transfer your registration one time to another employee within the same organization. Please contact Destinations Texas before the event so we can update the attendee information.
If you are unable to attend and would like to use the registration for a future event
Because each Destinations Texas event has its own budget, registration process and financial commitments, registrations apply only to the event for which they were purchased. We are not able to carry registration fees forward to a future event.
Why We Have This Policy
Destinations Texas makes financial commitments well in advance of each event based on expected attendance. These may include food and beverage, meeting space, audiovisual services, speakers, materials and other event expenses.
Once the cancellation deadline has passed, many of those costs are committed and cannot be recovered. This policy helps us plan responsibly, protect the financial integrity of the association and continue providing high-quality programs while keeping registration fees as reasonable as possible. Our goal is to be transparent and consistent while also providing flexibility whenever we reasonably can.
Frequently Asked Questions
Why can't I receive a refund after the cancellation deadline?
By the cancellation deadline, Destinations Texas has typically committed to expenses based on the number of registered attendees. Because many of those costs cannot be reduced or recovered, we are unable to provide refunds after that date except in the case of an approved medical emergency.
Can I apply my registration fee to a future Destinations Texas event?
Registrations are tied to the specific event for which they were purchased. Because each event has its own budget, registration process and financial commitments, we are unable to carry registration fees forward to a future event.
Can I transfer my registration to someone else at my organization?
Yes. We are happy to allow one transfer per registration to another employee within the same organization. Please contact Destinations Texas prior to the event so we can update the attendee information.
What happens if the registered attendee leaves our organization after the cancellation deadline?
You are welcome to transfer the registration to another employee within your organization. This allows your organization to make use of the registration even if the original attendee is no longer able to participate.
What if I have a medical emergency after the cancellation deadline?
We understand that unexpected medical situations can occur. Requests involving a medical emergency will be reviewed individually, and appropriate documentation may be requested.
What if something unexpected comes up and I simply can't attend?
We understand that schedules can change. After the cancellation deadline, the registration is no longer eligible for a refund, but you may transfer it to another employee within your organization.
